The Tow Foundation welcomes applications for an Executive Assistant to the President and Chairman. This position reports the President.
Position Description:
The Executive Assistant plays a critical role in supporting the Foundation’s President, Chairman and Board of Directors through exceptional administrative and project management support.
Responsibilities are focused on supporting the executives and board members to ensure the Foundation’s critical business and decision-making are effective and efficient.

Responsibilities:
Executive Support:
- Manage all incoming & outgoing scheduling requests, keep calendars updated with complete and
accurate information on daily meetings, appointments and travel arrangements - Monitor incoming task requests and work closely with executives on priorities and deadlines
- Screen, research and prioritize inquiries to ensure all communications are handled in a timely and
professional manner - Manage ongoing relationships between executives and key partners, including Foundation staff,
grantees, other funders and vendors to advance the effectiveness and efficiency of the Foundation’s
leadership - Maintain and create contact records, ensuring they are accessible across various mobile devices
- Schedule, plan and prepare for meetings; at times this may include managing logistics and note-taking
- Prepare meeting materials, presentations and correspondence as needed
- Coordinate with the Director of Strategy and Communications regarding requests for executive speaking engagements, grantee and funder events and other public appearances
- Maintain and track business expenses and submit monthly expense reports for executives and Board of Directors
- Undertake special administrative, program, or research projects as needed
Board of Directors Support:
- Serve as the primary point of contact for the Board of Directors
- Manage logistics for the Foundation’s Board, Board committees and Next Generation board activities, including, but not limited to, scheduling meetings, preparing and delivering meeting materials and coordinating travel arrangements
Qualifications:
- Ability to meet concurrent deadlines and organize time and priorities appropriately
- Ability to prioritize and balance responsibilities while providing high-quality service
- Clear understanding of how to maintain confidentiality and discretion while handling and processing confidential information and data
- Attention to detail with strong organizational skills
- Effective written, electronic, and verbal communication skills
- Flexibility and ability to adapt to a dynamic and rapidly changing work environment
- Proficiency in all Microsoft Office 365 applications, competency in working in Mac desktop operating systems, and a basic understanding of iOS mobile technology and business apps
- Familiarity with registration systems and information management applications including, but not
limited to, SharePoint, Salesforce, and board portals - Bachelor’s degree
- Minimum of five years of experience in relevant positions or performing similar duties
